OPERATIONS ASSOCIATE JOB DESCRIPTION

 

The operations associate aids in the support and overall direction of activities happening within the company. Must be comfortable working independently in a small office and able to complete assignments on-time without extensive supervision.

 

 

Job Requirements:

 

  • Minimum 2 years work experience in an office setting

    • Accustomed to making independent decisions/judgments about work priorities.

    • Clerical support: filing, answering phones, task prioritizing, data entry, supply ordering

 

  • Excellent communication skills

    • Written: able to communicate via email, compile reports

    • Verbal: answering phones, greeting quests, resolving conflicts, face-to-face communication

 

  • Highly organized, attention to detail

    • Ability to read, analyze, and interpret common scientific and technical journals, financial reports, and legal documents.

    • Self-directed, self-motivated, eager to learn, able to pioritize tasks, complete within deadlines

 

  • Light physical effort required

    • Exerting up to 20 lbs occasionally; 10 lbs. frequently.

 

 

 

Preferred:

 

  • A university degree or equivalent is required

    • Medical device industry background preferred and/or ability to communicate effectively within the engineering discipline

  • Strong computer skills

    • Word, Excel, Google Documents

    • Experience in QuickBooks preferred (training available)

  • Strong leadership skills

    • Ability to establish and maintain relationships with investors, vendors, clients and leadership team (able to manage and motivate a wide range of people)

    • Positive attitude, tact and courtesy necessary to deal with the public.

    • Open-minded, patient, creative, enthusiastic, understanding and a team player

    • Strong presentation and listening skills vital to communication with employees

    • Exercise independent judgment in selecting and interpreting information and resolving difficulties

 

 

 

Job Duties:

 

  • Leads a team, ensuring their growth and development and their ability to exceed stakeholder expectations

    • Serve as on-site liaison and point of contact for investors, advisors and affiliate organizations calling Epinex. Answer questions and resolve or refer concerns by communicating proactively and demonstrating commitment to high quality service.

    • Train new and existing workers and ensure they abide by company policies while performing day-to-day tasks

    • Write/draft routine correspondence for chief executive/principals signature.

    • Provides direction and support to staff members

    • Identify and distribute tasks to employees under their administration

 

 

  • Provide high-level administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.

    • Oversee basic financial and accounting tasks; collect time and expense sheets from contractors and partner firms, track project expenses, and prepare monthly invoices; organize incoming bills, receipts, and payroll related paperwork for bookkeeper/accountant.

    • Oversees all inspections and internal audits

    • Develops, implements, and adjusts, as needed, company strategies.  

 

 

  • Responsible for ensuring company’s document management system is up to date

    • Manages controlled documentation to ensure conformance to standards

    • Maintain inventory of supplies, training materials and. Procure supplies and equipment

    • Maintain, update and archive master and support documents in the company’s document control system; coordinate the preparation, approval and implementation of these documents

    • Write and/or edit procedures, work instructions, or policies

 

 

  • Ensures that the activities of any business development efforts are conducted in conformance with all applicable regulations and with all policies, procedures and practices.

    • Protects organization's value by keeping information confidential.

  • Updates job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional organizations.
